SD Worx emphasizes a people-centric approach, aiming to drive business success by supporting employees and enabling them to thrive. With over 75 years of experience, they serve 90,000 organizations across Europe, calculating the salaries of approximately 5.7 million employees.

The briefing

The purchasing department has an overview of purchase amounts per supplier. It has developed its own categorisation based on type of service or product in order to organise the supplier list.  This represents the categories that are most important to SD Worx’s business operations and provides business-relevant information that is not included in existing codes such as NACE (NACE is the European standard for classifying economic activities). This allows an overview of what is being purchased, viewed per business-relevant category. Not all suppliers had yet been assigned to a category. In these cases, it was not yet possible to determine from the data which business-relevant service or product they had supplied. This information is therefore not available for expenditure analyses. This resulted in an incomplete overview.

Furthermore, SD Worx wanted to make the insights gained from the purchase data as intuitive and clear as possible. Various business users want to be able to gain insights from the purchase data without having to dive into the data themselves or have procurement do it for them. This highlighted the need for reporting that focuses on the most important insights for all users of the data.

Our solution

To begin with, the categorisation of service or product types was completed for the outstanding cases. This made the data available immediately. When completing these categories, the ROI was closely monitored: suppliers with large amounts of goods or services supplied were categorised first.

In addition, a report was drawn up that enables users of the purchase data to quickly consult the relevant insights. This concerns matters such as the purchase categories that represent the most value and the evolution in purchase figures over time. This report was compiled in consultation with key stakeholders in order to provide a solution that perfectly meets their needs. This report was then communicated to the customer verbally and in writing, so that they could get started and make any adjustments required to meet future needs.

The result

The collaboration with Cloubis provided them a complete overview of the amounts spent on each business-relevant type of service and product. The amount of uncategorised expenditure was reduced at a rapid pace.

The use of Power BI also made it easy and quick for all parties involved to consult the purchase data. The time saved will allow members of the procurement team to focus more on their core tasks.Other parties who consult their data also need less time to do so: the insights are immediately displayed to them.

Furthermore, everyone who wants to consult the purchase data now has access to the same report, which prevents miscommunication – whether due to different uses of the same data or the use of different data.

In short: SD Worx now gets more value from its data.
