Spelfanaat is a specialist shop for board, card and miniature games based in Mechelen. Since its takeover in April 2023, the shop has been further developed as a meeting place for gaming enthusiasts. They offer a wide range of around 2,500 different games and regularly organise game nights and workshops for various clubs in the event space behind the shop.
Spelfanaat had a specific request to develop a report that provides insight into purchasing and sales movements across various dimensions, such as product categories, seasons, suppliers and customers. Based on these insights, informed decisions can be made, such as determining the closing day, choosing the game of the month and setting sales targets. The underlying SQL database of the cash register system was used to compile the report.
The project kicked off with an initial introductory session in which the desired insights and expectations were identified. During this session, various topics were discussed, such as the required filter options, a logical structure for the report, preferences in terms of layout and the structure of the master data. This input formed the basis for drawing up the high-level requirements.
Based on the expectations discussed, we started exploring the available data. We analysed which tables from the cash register system were needed to provide the desired insights. This exploratory phase clarified which tables and dimensions were essential for further developing the report.
A first version of the report was then developed. This contained several pages focusing on sales, purchasing, customer profiles, discounts, activities and detailed analyses, among other things. This version was reviewed together with the user, which immediately led to initial insights and valuable feedback. Both the content and the design and use of certain visuals were discussed. During this session, Cloubis also explained the structure of the report and the definitions used for the core concepts. This helped the user to better understand the structure and meaning of the report and to provide targeted feedback for further optimisation.

The result was a Power BI report with multiple tabs that clearly presents sales and purchasing figures. This report enables Spelfanaat to make better-informed decisions. For example, the average purchase amount per transaction is used to offer targeted discounts to customers.
In addition, the report provides valuable insights into the performance of the various product categories, including growth trends compared to previous quarters and years. This information forms an important basis for both purchasing policy and store layout.
In short, Spelfanaat now has more insight into the data from the cash register system and can actively and accurately monitor sales results.
